- deviations from documentation,
- corrective actions,
- serial number or other element designation.
If a nonconformity is detected after delivery, proper traceability allows for the identification of the affected components. Without it, the entire batch may need to be treated as potentially nonconforming.
Documentation and change management
In defense production, documentation is part of the product and process, not an administrative addition.
The manufacturer should have a system to control:

AQAP is NATO’s publication on quality assurance in defense contracts.
AQAP 2110 incorporates ISO 9001 requirements, expanded to include additional NATO requirements for quality design, development, and production. AQAP 2131 addresses final inspection and testing. Depending on the contract type, other documents from the AQAP family may also be used. [1]
The requirement for AQAP compliance or certification does not automatically apply to every defense-related contract. However, it may be specified by the contracting authority in the procurement procedure, contract, or quality requirements. [2]
Therefore, before accepting the order, the supplier should determine:
- what quality requirements apply,
- whether an AQAP certificate is needed,
- whether compliance with specific procedures is sufficient,
- what quality plan should be prepared,
- whether supervision by a contracting authority representative is required,

Simply having an ISO 9001 certificate does not automatically mean that you meet all AQAP requirements.
Information security
Defense projects may include technical documentation, commercial data, or restricted information.
The manufacturer should adhere to the principle of minimum access. Documentation should be provided only to those who need it to perform their assigned tasks.
Requirements may include, among others:
- how to transfer files,
- places where documentation is stored,
- access to IT systems,
- ability to copy data,
- use of private devices,
- making documentation available to subcontractors,
- destroying or archiving data,
- publishing photos from the implementation.
Please don’t assume that the absence of a classified document designation constitutes permission for public use. Images, 3D models, project names, and recipient information should not be published without formal consent.
Security and continuity of supply
In the defense sector, supplier reliability means not only product quality, but also the ability to fulfill orders on time and for the intended period.
The European Defence Agency defines security of supply as the ability to provide the appropriate quantity of products and services needed by a country to meet its security and defence obligations. [3]
From the manufacturer’s perspective, this means the need to analyze:
- availability of materials,
- dependence on a single supplier,
- the possibility of replacing the machine in the event of a breakdown,
- availability of qualified personnel,
- data security,
- continuity of energy supply and services,
- deadlines for the implementation of external processes,
- stocks of critical materials and tools,
- risks related to subcontractors.
A company declaring its ability to implement a project should take into account the entire supply chain, not just its own processing time.
Component quality control
The scope of the inspection depends on the project requirements.
May include:
- control of input material,
- dimensional measurements,
- first article inspection,
- inter-operational control,
- visual research,
- other non-destructive tests,
- coating and surface inspection,
- final inspection,
- verification of the completeness of documentation,
- product approval before shipment.
Requirements should be described in technical documentation, quality plan, control plan or contract terms.
Simply stating that an item has been “tested” is insufficient. It is necessary to specify what was tested, by what method, according to what criteria, and with what results.
The role of the prototype and the first production series
For new or complex components, it may be wise to produce a prototype or a short trial run.
This allows you to verify:
- possibility of making an element,
- fit,
- dimensional stability,
- material reaction to machining and welding,
- risk of deformation,
- method of control,
- lead time,
- completeness of documentation,
- repeatability of subsequent pieces.
A prototype doesn’t eliminate all risk. However, it can reveal problems before larger-scale production begins.
How to prepare a request for quotation?
In order for the manufacturer to reliably assess the feasibility of implementation, the inquiry should include:
- current technical drawing,
- 3D model, if available,
- required material,
- required material,
- tolerances,
- welding requirements,
- required standards and certificates,
- scope of tests and measurements,
- documentation requirements,
- marking method,
- information protection requirements,
- expected date,
- conditions of receipt.
The lack of this data may lead to an incomplete quote, incorrect assumptions about the scope of work or subsequent cost changes.
